Create a home record you can search later

Good home records reduce repeated research and help the next decision begin with context.

Organize by system and location

Use consistent folders for exterior, structure, plumbing, electrical, climate systems, appliances and rooms. Give files descriptive dates instead of relying on a download name.

Keep a compact asset entry

For each major item, record only what you can verify. Photograph labels while they remain readable and avoid storing access codes or unnecessary personal information.

  • Manufacturer and model
  • Serial number if needed for service
  • Installation or purchase evidence
  • Manual and warranty terms
  • Service history and next review

Use a maintenance log

One row per observation or action is enough: date, location, condition, decision, provider if any, cost if useful and next step. Link supporting files rather than copying details across several lists.

Protect and hand over records

Keep a backup appropriate to the sensitivity of the information. Before sharing records, remove personal data, security details and unrelated documents.
