Prepare the decision
Clear inputs make service conversations easier to compare and completed work easier to understand later.
Share where the issue is, what you observed, when it occurs and what has changed. Avoid prescribing a solution before the condition has been properly evaluated.
A useful written proposal identifies scope, exclusions, materials or equipment, timing, price structure and how changes will be approved. Verify credentials, insurance and permits through appropriate local sources where applicable.
When new conditions appear, ask for the finding, proposed change, cost and schedule effect in writing. Keep accepted changes with the original scope.
Confirm what was performed and collect relevant closeout material. A final record does not certify technical quality; specialist inspection may be appropriate for consequential work.
